Terms and Conditions

REQUESTS

Requests are processed upon reception of on-line request for booking form(s), e-mailed letters, faxes or phone calls. We will answer your inquiry within 24 hours from the moment your message is received, if not on the week-end or holiday. Messages received on week-ends and holidays will be processed the first working day after.

It is advisable to start making travel arrangements earlier than 14 days prior to the expected date of arrival to Ukraine. Although booking in advance is preferable, we will process last minute requests as well, if they are received in working hours - Monday though Friday, from 10 am till 6 pm, GMT+2.

AVAILABILITY AND BOOKING

Due to specifics of internal transportation system, there are time limits for booking domestic train and air tickets.

Domestic air tickets can be booked within 30 days prior to the flight.

Domestic train tickets can be booked within 42 days prior to the train trip.

Earlier bookings for domestic train and air tickets are not available.

Requests for bookings received prior these terms will be fulfilled as soon as the tickets become available for booking.

In case the hotel you request is not available we will offer alternative accommodation options in the similar price and quality range. Your approval is necessary for proceeding with booking.

PRICES AND PAYMENTS

Prices are quoted in USD and include all state and local taxes.

Group tariffs are dispatched upon request.

Prices are subject to change. However, invoiced amounts are not changeable, unless discussed when invoicing.

Payment can be made with a credit/debit card or via bank. Card payments can be settled on-line or as a mail-order. We accept Visa and MasterCard.

Calculations and invoiced amounts are in USD.

On-line payments for Visa or MasterCard

On-line transactions are processed via the SSL secure server.

Payment links are valid within 3 days after the invoicing date.

Bookings will be processed within 24 hours from the moment the on-line payment information is submitted, if not on the week-end or holiday.

Credit cards are billed in UAH (Ukrainian Hryvna) according to the current National Bank of Ukraine rate as to the date of invoicing. Tartus-Tour Ltd is not responsible for conversion rate deviation, caused by possible difference of official National Bank of Ukraine rate and conversion rate of Payment Systems, as well as any cardholder's bank or credit card company commissions involved in overseas transactions.

Due to possible price and currency rate changes the following is applicable for bookings made in advance:

If price change has resulted in lesser due amount we would send the notification note and the renewed invoice and payment link.

If National Bank of Ukraine rate deviates sufficiently (+/- 3% or more) within the term from the invoicing to the billing date, we will send the renewed invoice and link for updating the payment information. This measure will result in the same or lesser amount in USD.

Invoiced amounts cannot be increased, unless discussed when invoicing.

Mail-orders for Visa and MasterCard

Should you wish to use the mail-order option, please, specify it in your request for booking. We will send you the invoice for the requested arrangements and corresponding credit card payment form for completing and faxing back to us with your credit card copy - front and back sides. For payments exceeding 499USD, your passport copy should be added to the above-mentioned paperwork.

Your bookings will be confirmed within 24 hours from the moment your fax is received, if not on the weekend or holiday.

Bank transfers

Payments can be made via bank to our account in Ukraine either in USD or EURO.

Should you wish to make the payment via bank, please, specify it in your request for booking, along with the preferable currency of payment. Amounts for EURO payments will be calculated according the National Bank of Ukraine cross rate of EURO/USD as to the date of invoicing.

We will send you the invoice for the bank wire for your approval. Bookings will not be processed until we receive your confirmation. Within 24 hours from the moment your approval is received, if not on the week-end or holiday, we will make preliminary reservations. Payment will be due within 3 working days from the moment reservations are confirmed. Travel arrangements will be cancelled automatically if payment is not received in this term. Bank wires are not accepted for bookings made at shorter than 14 days notice.

Paying party settles bank charges. Minimal amount for bank wires is USD150.

BILLING

Billing dates are stated in the invoices in the billing date field and are not changeable, unless discussed and agreed upon in the correspondence.

Transportation cost is billed when tickets are available for booking.

The following time limits are applicable:

  • air tickets are bookable within 30 days prior to the flight;
  • train tickets can be booked within 42 days prior to the train trip.

Tickets are not available for booking earlier.

Requests for bookings placed earlier than within these terms will be fulfilled as soon as the tickets are available for booking.

Hotel cost is billed within 14 days prior to the 1st en-route hotel check-in date.

Tours/packages cost is billed

  • for 25% deposit upon placing the booking
  • for 75% within 30 days before arrival to Ukraine.

Payment for extra services will be due to service providers directly, e.g. extra meals, phone calls cost at hotels, extra time for guides, etc.

CANCELLATIONS AND REFUNDS

For canceling travel arrangements, please, e-mail or fax us. The reception of cancellation will be confirmed within 24 hours from the moment your message is received, if not on the week-end or holiday. Messages received on week-ends or holidays will be processed the first working day after.

Please, note if you have received no confirmation within this term it means we have not received your message. When making cancellations, please, make sure the information is received.

Hotels

Hotel cancellations made at 14 days or prior notice, are subject to full hotel cost refund.

For later cancellations, cancellation fees depend on the hotel cancellation policy solely.

However, canceling your hotel at least 5 days prior to the hotel check-in date you can be sure that cancellation fee would not exceed cost of one night stay.

Tartus-Tour Ltd hotel booking fee of USD 10 is non-refundable.

Air tickets

Air tickets refund policy depends on the domestic flight company solely.

However, canceling your air tickets 10 working days prior to the flight you can be sure that no cancellation costs would be involved. Please, note tickets should be turned in to Tartus-Tour Ltd office for cancellation within this term. Only having the tickets, we can make the cancellation and refund the tickets cost.

If necessary to cancel air tickets when traveling in Ukraine, please, put the cancellation mark on the tickets at the nearest airport ticketing office and send the tickets to Tartus-Tour Ltd by registered mail. Tickets can be refunded within 1month term after the flight date.

Tartus-Tour Ltd air tickets booking fee is non-refundable.

Train tickets
Train tickets cost is non-refundable.

Airport pick ups, car, guide and other services
These services can be cancelled at one working day notice and the cost will be refunded in full.

If payment was made with a credit card
Refund amount (calculated basing on the conditions above) would be credited back to your card within one week after the cancellations are confirmed.

If payment was made via bank
Refund amount (calculated basing on the conditions above) could be deposited for future arrangementsor refund amount (calculated basing on the conditions above) minus bank transfer costs would be credited back to your bank account within one month after the necessary cancellation paperwork is received by Tartus-Tour Ltd. We will send cancellation sheets to you for signing up and mailing back to us. This paperwork is required in original.

LIABILITY

Tartus-Tour Ltd is fully responsible for completing bookings in accurate and timely manner and guarantees the delivery of services and costs according invoiced amount.

Tartus-Tour Ltd has no control over standards or quality of services provided by hotels and transport agents as well as booked flight cancellations or delays.

It is client's responsibility to reach on time the hotels, airports, railway/bus stations, seaports for booked voyages, unless transportation to these sites was booked with Tartus-Tour Ltd.

Tartus-Tour Ltd is not responsible for courier service delays or non-deliveries and any consequences it might result in. Tartus-Tour Ltd liability is limited by courier services? liabilities, their service terms and conditions. We do our best to provide accurate information on hotels and transport amenities and quality. If an issue arises when staying at a hotel and it cannot be resolved with the hotel directly, please, contact us before you check-out from the hotel. We will do our best to find the solution with the service provider. Please, note we will not be able to affect the situation after the check-out.

PRIVACY AND CONFIDENTIALITY

All booking data, including credit card information, is kept confidential and is not disclosed to the third parties. Please, note inquiries made by the third parties about your bookings will not be answered, unless you instruct us to do so. In case, you wish to have someone follow up your bookings for you, please, inform us about his/her name and e-mail address.
